About the Role:

The Accounts Payable Manager plays a critical role in overseeing and managing the entire accounts payable function to ensure timely and accurate processing of invoices and payments. This position is responsible for maintaining strong internal controls, optimizing payment processes, and ensuring compliance with company policies and regulatory requirements. The manager will lead a team, providing guidance and support to ensure efficient workflow and resolution of discrepancies. Additionally, the role involves collaborating with other departments such as procurement, project management, and finance to support job costing and project accounting activities. Ultimately, the Accounts Payable Manager ensures the integrity of financial data related to payables, contributing to the overall financial health and operational efficiency of the organization.

Minimum Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Minimum of 5 years of experience in accounts payable or general accounting roles.
  • Proficiency with QuickBooks and other accounting software systems.
  • Strong knowledge of accounts payable processes, job costing, general ledger, and payroll tax regulations.
  • Demonstrated experience in account reconciliation and managing accounting systems.

Preferred Qualifications:

  • Experience managing an accounts payable team or department.
  • Familiarity with project accounting and construction or manufacturing industry accounting practices.
  • Certification such as CPA, CMA, or equivalent accounting credential.
  • Advanced skills in Excel and financial reporting tools.
  • Experience with ERP systems beyond QuickBooks.

Responsibilities:

  • Manage and supervise the accounts payable team to ensure accurate and timely processing of invoices and payments.
  • Oversee the reconciliation of vendor statements and resolve any discrepancies or issues promptly.
  • Coordinate with project managers and accounting teams to ensure proper job costing and project accounting entries.
  • Maintain and improve accounts payable processes and internal controls to enhance efficiency and compliance.
  • Prepare and review reports related to accounts payable, general ledger entries, and payroll tax obligations.
  • Ensure compliance with company policies, accounting standards, and regulatory requirements related to accounts payable.
  • Collaborate with payroll and other accounting functions to support accurate tax reporting and financial record-keeping.
  • Utilize accounting systems and software, including QuickBooks, to manage accounts payable transactions and reporting.

Skills:

The required skills such as accounts payable expertise, QuickBooks proficiency, and knowledge of job costing and general ledger are essential for managing daily invoice processing, payment approvals, and accurate financial record-keeping. Payroll tax knowledge ensures compliance with tax regulations and proper reporting, which is critical for avoiding penalties. Account reconciliation skills are used daily to verify vendor statements and resolve discrepancies, maintaining the accuracy of financial data. Familiarity with accounting systems and project accounting allows the manager to collaborate effectively with cross-functional teams and support complex job costing requirements. Preferred skills like team management, ERP experience, and advanced reporting enhance the ability to lead the department efficiently and contribute to strategic financial planning.
