Job Summary

SyBridge Technologies is seeking a highly organized and detail-oriented Operations Assistant to support daily operations and contribute to the efficiency of our team. This role is ideal for an individual with strong administrative experience, excellent communication skills, and the ability to manage multiple priorities in a fast-paced professional environment. Reporting directly to the Site Leader, the Operations Assistant plays a key role in coordinating office activities, managing schedules and documentation, and providing administrative support to various departments. The position focuses on maintaining organized workflows, supporting internal and external communications, and ensuring administrative processes run smoothly. Success in this role requires strong organizational skills, professionalism, attention to detail, and the ability to collaborate effectively with cross-functional teams while maintaining a high level of confidentiality.

Key Responsibilities

  • General Office Duties:
  • Answering phones and directing calls as required; check mailbox and greeting customers
  • Preparing service call packets and organizing travel for employees to travel to customer work sites
  • Check first aid cabinets for stock and cleanliness.
  • Participate in the Health and Safety Committee meetings and administratively keep all meeting minutes and the Action Deck organized and communicated to the appropriate parties
  • ISO: Regularly maintain files, procedures and documentation to comply with CMA ISO9001:2015 standards
  • Regularly perform accounting functions which could include monthly purchasing accrual and account reconciliations
  • Quarterly tax renewals (ex. Business License, Property Taxes, Vehicle Tags, Insurance, DOT Compliance)

  • Human Resources Duties:
    • Assist in onboarding and offboarding new employees including training, Fastenal, uniforms, etc.
    • Maintain communication boards
    • Submit employees change information directly to HRBP
  • Purchasing and Material Handling Duties:
    • Monitor and maintain office supplies stock
    • Set up new vendors in system, enter and maintain requisition, create PO and monthly reconciliation
    • Regularly ensure all material or customer supplied product is marked with the appropriate job sticker
  • Logistics Responsibilities:
    • Schedule vehicle fleet/drivers, coordinate shipments domestic and international
    • Ensure Bill of Lading’s are created before shipment
    • Process logistics information into Job Vision and create a Bill of Lading
      • Logistics tracking
      • Cargo insurance
      • Proper filing of packing slips
    • Prepare documentation and scheduling of importation and exportation of goods across international borders through FedEx and UPS
    • Preparing annual overweight permits
  • Other Duties:
    • Assist the Site Lead and Operations Manager on project-related activities
    • Assist with company events
    • Other duties as assigned when required for this position

Qualifications

  • A high school diploma or equivalent is required.
  • Computer proficient in Microsoft Office Suite is required
  • Experience managing a fleet and coordinating drivers is an asset
  • Experience in logistics within a similar industry & work environment is considered an asset
  • Previous experience in Shipping/Receiving is an asset to applicants
  • Ability to utilize ERP/MRP and data input as needed.
  • Ability to work some overtime and some weekends on call as required
  • Successful applicants will be required to complete a background check
  • Ability to perform under pressure and work independently
  • Ability to prioritize tasks and meet deadlines as required
  • Ability to ensure quality standards are met
  • Strong attention to detail and analytical skills
  • Strong leadership, interpersonal, communication and relationship building skills
  • Proficient in time management and communication skills
  • Travel may be required between sites (approx. 15% monthly)
